Directions for submitting electronic doctoral dissertations and professorial theses

In accordance with the Link"Pflichtexemplarordnung" of the University of Rostock you may submit your dissertation/thesis in electronic format. This new electronic submission process is free of charge.

What do you need for the submission of your electronic dissertation/thesis?

1. Bibliographic data

Besides other bibliographic data the following information is needed for the library catalogue records and for the registration of your dissertation/thesis through the German National Library:

  • an abstract in the language of your dissertation/thesis with max. length of 600 characters (including blanks) and formatted in plain text (no HTML or special formatting)
  • 3 to 6 keywords which are not included in the title
  • DDC number (Dewey Decimal Classification Number) chosen by using a dialog window during the submission process

To submit the bibliographic data you may use a Linkform on this web site.

2. Publication agreement with the University Library

After submission of the bibliographic data, the online publication agreement "Erklärung zur Abgabe elektronischer Dissertationen/Habilitationsschriften" will be generated and sent to you by e-mail.

By accepting the terms of this agreement, you are granting the University Library the non-exclusive, worldwide, perpetual, irrevocable right to reproduce, distribute, display and transmit your work online.

Please sign the online publication agreement and submit it together with the four hard copies to the University Library (Bereichsbibliothek Südstadt) at the information desk (Mediathek).

3. PDF/A file of your dissertation/thesis

  • LinkInstructions for converting your file to PDF/A format are available on the web site of the University Library.
  • Your final PDF/A file has to be named as follows: Dissertation_Mustermann_2011.pdf .
  • All reviewers (with full surname, first name, academic degree(s) and institution); the date of submission and the date of defence have to be listed [Linksee example].
  • Additional files (audio, video, CAD, etc.) have to be submitted separately on CD or DVD with each of the hard copies.
  • No vita and no signature page should be included in the online publication in order to protect your personal data.
  • The PDF/A file may be uploaded by using a Linkform on this web site.

4. four bound hard copies of your dissertation/thesis

Two bound copies will be catalogued in the University Library and made available to the public. Two other copies will be distributed to the German National Library.

  • In all hard copies the reviewers (with full surname, first name, academic degree(s) and institution), the date of submission and the date of defence have to be listed [Linksee example].
  • The copies intended for the University Library have to contain your date and place of birth on the title page and a brief vita.

You can submit the hard copies to the University Library (Bereichsbibliothek Südstadt) at the information desk (Mediathek) or send them by mail to "Hochschulschriftenstelle".

Are you additionally going to enter into a contract with a publisher?

Because you hold the copyright on your work, you can additionally enter into a contract with a publisher. In this case the publisher has to agree with the online publication.
If you intend to enter into a contract with a publisher, but you do not have any contract yet, you can submit the bibliographic data and the PDF/A file and delay the release for 1 year.
After the submission of a contract, the data and the PDF/A file will be deleted if the publisher does not agree.

If you do not inform the University Library and do not submit any contract, the University Library will make your electronic publication available on internet immediately after the deadline.

What happens after the submission of your electronic dissertation/thesis?

  • By submitting the bibliographic data, PDF/A file and four hard copies you conform to all requirements of the "Pflichtexemplarordnung". A confirmation about this matter will be sent by fax to the "Promotionsstelle". You will be informed by e-mail.
  • The full text of the electronic publication is now available online free of charge and without any restrictions. No further changes are possible.
  • The online publication is available on the library catalogue, on internet search engines and on the catalogue of the German National Library where all German electronic dissertations/theses are registered.
