Publication process

There are four steps to publish a document via e-mail and web form:

1. Choose a document type and enter e-mail adress

After choosing a document type (see on top of this page) and entering your e-mail adress you'll receive an e-mail containing a link to our web form.

2. Enter bibliographical data and choose a license (optionally)

Please use the web form to provide bibliographical information about your document (authors, titles, date, abstract etc.). If desired, you can choose a Creative Commons license.

Further advice on bibliographical information and licenses is provided here.

3. Upload PDF/A file

After submitting the online form, a link to a new website will be sent to you, where you can upload the PDF/A file of the document to be published to the RosDok server.

You may find instructions on How to create a PDF/A file here.

4. Sign the generated submission form and send it back to the library

After the document has been uploaded, the bibliographic information will be used to generate a submission form. Please sign it and send it as scanned document by e-mail or in-house mail to the university library.

You may find an example for the submission form here.

The RosDok team checks the bibliographical information and the uploaded file and publishes your document on the RosDok repository after it receives the signed submission from. You will be informed by e-mail.

Support with the publication process

The RosDok team will be happy to assist you with the publication of your documents. Please contact us by e-mail, e.g. if none of the document types are suitable, the PDF/A creation causes difficulties or if you have questions about rights and licenses or if there are other problems related to the publication process.

Upload service

In certain cases, e.g. a large number of documents, the RosDok team can also do the publication for you. Please contact us by e-mail to discuss the exact procedure. Please understand that this publication process may take some time.

Secondary publication, if your document was already published by a publisher (preprints, postprints)

Today many publishers allow a second publication on the publication server of a university. If you do not have the publishing contract at hand, you may find help at the so-called SHERPA/RoMEO list.

Legislature allows you, under certain conditions, a secondary publication regardless of the publishing contract. Please consult the FAQ zum Zweitveröffentlichungsrecht of the Allianz der deutschen Wissenschaftsorganisationen.

We would be happy to assist you in clarifying the conditions for a secondary publication.

New journal or series

If you plan to publish a new journal or series on RosDok, please contact us some time ahead. Before publication of the first volume, the journal / series itself must be created by the RosDok team.

Digitization of your printed publications

For members of Rostock University, we offer a free service of digitizing publications that are only available in print, provided that they can also be published on RosDok afterwards.

Therefore you have to give the University of Rostock a Genehmigung zur Digitalisierung und Veröffentlichung. If you are not the sole owner of all rights to the publication, you must obtain them from any other rights holders (co-authors, editors, publishers).

Usually after scanning the text will be processed by an OCR engine (optical character recognizion). As a result the fulltext of the published document will be searchable.

Please contact us by e-mail to discuss the exact procedure.

Please understand that the digitization process may take some time.
